Summary
The Deployment Administrator holds responsibility for organizing deployments and keeping records for Victorian & South Australian areas. This role ensures all necessary deployment documentation is ready prior to installation, customer records are accurately maintained and updated within Salesforce, and communication with customers occurs as required. The main goal is to guarantee that data concerning scheduled work accurately reflects real-world activities and stays correct throughout the entire process, from initial scoping to completion in the field.
What You Will Do
Key responsibilities of the Deployment Administrator include:
- Scheduling Deployments (Pre-deployment):
- Receive and examine incoming request forms, product manifests, sales orders, monitoring system extracts, etc., and take appropriate action.
- Collaborate with the Deployment Manager to define the scope of work and efficiently assign various jobs across days and weeks.
- Coordinate with the deployment preparation team to confirm availability of all required materials for scheduled tasks.
- Create deployment “Cases” in Salesforce using customer documentation (work orders, SWFs) to ensure accuracy of scheduled work.
- Ensure precise tracking and capture of all products entering and leaving venues within Salesforce Cases for database integrity and accurate billing.
- Oversee and frequently follow up on customer paperwork, ensuring it is timely, complete, and correct.
- Propose plan modifications to enhance resourcing, efficiency, and execution.
- Escalate issues to venues and management groups when customers haven’t followed the correct procedures or provided necessary deliverables.
- Warehouse & Logistics Liaison:
- Utilize the Deployment Planning Schedule to monitor the readiness status for each deployment, particularly the crucial prep line production function.
- Address shortfalls with relevant stakeholders, including engaging external suppliers.
- Follow up on timely and accurate updates of Stock On Hand reports by the team to maintain correct insights into multi-vendor product delivery statuses and overall readiness.
- Accounts:
- Handle monthly annuity invoicing, ad hoc invoicing, EGM storage invoicing, and transport invoicing.
- Manage any additional invoicing as needed.
- Prepare reports for billing purposes.
- Support for Service Team:
- Arrange travel and accommodation bookings for deployments.
- Process payments and reconcile invoicing against deployment jobs for cost-to-serve analysis.
- Provide office support to technicians.
- Gather and consolidate site audit information.
- Manage licensing & accreditation status and renewals.
What We Are Looking For
- Minimum of 3 years’ experience in administration.
- Outstanding communication skills, both written and spoken.
- Proficiency in the Microsoft Office suite (Word, Excel, PowerPoint).
- Prior experience with Salesforce software is advantageous but not required.
